Remote Contract Opportunity for: Operations Support
About the Role:

In this role, you’ll act as the glue that ensures seamless operations by managing schedules, communications, and initiatives. This full-time remote role (40 hours/week) requires working primarily during US Eastern Standard Time (typically 8 am-4 pm).
Responsibilities include but are not limited to, managing calendars, preparing reports, organizing documents, coordinating admin HR tasks, and overseeing cross-functional projects via tools like Asana and Microsoft Office. The ideal candidate has at least 6 years of experience supporting C-level executives, is detail-oriented, and can handle confidential information with discretion while working independently in a flexible environment. We are seeking an individual of high moral character, with a strong sense of integrity, honesty, and trustworthiness. The ideal candidate will demonstrate a commitment to ethical behaviour and maintain the highest standards of professionalism.
Key Responsibilities:
o Efficiently manage and maintain the calendar in various time zones, ensuring all appointments, meetings, and events are scheduled and organized.
o Coordinate and schedule internal and external meetings, including preparing agendas and related documentation.
o Perform heavy project management tasks via Asana, ensuring all projects are on track and deadlines are met.
o Systematize all emails/tasks and create a repeatable process to maintain daily team cadence.
o Keep the Executive organized and on track with daily updates on the status of key projects using Asana.
o Develop and maintain a professional rapport with internal teams and external partners to ensure prompt response via email.
o Create necessary materials such as agendas, notes, templates, PPT slides, and research materials.
o High attention to detail while managing confidential information with discretion.
o Self-starter who can anticipate needs and provide logical solutions with limited direction.
o Identify opportunities to streamline administrative processes and implement improvements.
o Handle sensitive information with the utmost professionalism and discretion.
o Manage documentation and maintain an organized repository of important files and resources.
What We’re Looking For:
o 6+ years of experience at executive level (remote experience preferred)
o Excellent English written and speaking skills (C1/B2 English)
o Proven ability to manage a complex calendar and schedule meetings efficiently
o Exceptional organizational and time management skills
o Strong written and verbal communication abilities
o Tech-savviness, including proficiency in tools like Google Workspace, Notion, Fathom, project management platforms (e.g., Asana), video conferencing software such as Teams, and familiarity with productivity-tracking tools such as Hubstaff, which the company uses.
o Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment
o A problem-solver with a can-do attitude who thrives on anticipating needs, proactively addressing challenges, and taking initiative
o Have reliable, quiet location with good high-speed internet for remote work
