Job Description:

We are seeking an ambitious, skilled, and highly organized Virtual Assistant to join our team. This role is ideal for someone with exceptional communication skills, strong project management abilities, and a detail-oriented approach. Our ideal candidate is resourceful, proactive, and eager to learn.

Key Responsibilities:

  • Administrative Duties: Manage emails, schedule meetings, handle phone calls, and take clear, actionable meeting notes; proficiency in Microsoft Word, PowerPoint, and Excel required.
  • Communication with Clients: Respond to client inquiries, maintain professional communication, and provide support through email and phone.
  • Meeting Summaries: Summarize and distribute notes from sales meetings, focusing on key decisions, action items, and issues.
  • Calendar Management: Book meetings and manage multiple calendars to ensure schedules remain well-coordinated and up-to-date.
  • Project Coordination: Develop to-do lists and action plans, coordinate with team members to gather necessary information, and ensure tasks are completed on time.
  • CRM and Data Entry: Accurately enter data into our CRM system, track client interactions, and assist in support ticket management to ensure seamless operations.
  • Event Planning and Coordination: Plan and coordinate virtual or live events, managing details such as scheduling and food orders.
  • Personal Assistance: Assist with occasional personal tasks.

Qualifications:

  • Communication Skills: Strong written and verbal communication skills; fluent in English.
  • Typing and Note-Taking Skills: Excellent typing skills for detailed and accurate meeting notes, ensuring well-written emails and effective communication between customers, team members, and yourself.
  • Microsoft Office Proficiency: Proficient in Microsoft Word, Excel, and PowerPoint.
  • Organizational and Multitasking Skills: Well-organized, detail-oriented, and able to manage multiple tasks effectively with great follow-up abilities.
  • Confidentiality: Demonstrates a high level of trustworthiness and discretion.
  • Adaptability: Able to handle both personal and professional tasks with ease.
  • Excellent organizational and time management abilities.
  • Ability to work independently and as part of a team.
