ROLE

As an Appointment Booking Specialist (ABS), you are responsible for supporting our clients in a timely and professional manner by booking appointments, delivering excellent conversions, customer service and nurturing new patients to significantly impact the of patients at medical practices..

We’re looking for a self-starter who has a passion for creative thinking, a love for conversations and superior relationship skills. You are a positive person and a listener who cares about improving the outcomes of people. You have a mastery in engaging with people, displaying empathy, inviting them to share their stories and show emotional intelligence that fosters trust.

You can follow best practices and standard operating procedures (SOP)...and you take advantage of opportunities to adapt and improve processes in order to consistently improve results.

To be a successful ABS, you must excel at creating and fostering conversations, prequalifying leads, and booking appointments including accepting inbound communications and placing outbound communications on 5 to 10 key client accounts.

Responsibilities:

• Engage with patients to build trust and book appointments
• Use CRM software (GHL) to manage communications and schedule appointments
• Answer calls, SMS, and emails, and update daily tracking reports
• Prequalify leads and accurately record patient info
• Work with managers to improve booking processes
• Maintain high-quality customer service and professionalism

Requirements:

• At least 1 year of experience in Customer Service/Appointment Booking
• Experience with sale, inbound and outbound calls
• B2-C1 English Level
• Proven experience in appointment booking or scheduling
• Strong communication skills (phone, email, SMS)
• Tech-savvy, familiar with CRM and EHR systems (GHL, Google Drive, etc.)
• Ability to multitask and work independently
• Available to work 8-hour shifts within M-F 8.30 AM-8.30 PM EST; Must be flexible and able to work additional hours/weekends/holidays if the situation warrants it
• Must have a professional home office environment and reliable internet for remote work

Shifts:

• Must be available full-time and able to work rotating shifts
• Must be available to work at least 1 weekend per month
• Two days off per week

Compensation & Benefits:

• Hourly pay (USD), based on experience
• Bonuses & Incentives based on ability to book
• Paid Time Off
